If you're training with us at Lumareth Stormborn, you're part of our warrior family, and we're gonna protect your personal stuff like it's our own. If anything's unclear, just shoot us a message and we'll break it down over coffee.

When you sign up to train with us, we're gonna need some basics to keep everything running smooth:

  • Personal stuff: Name, email, phone number, address - y'know, so we can actually contact you about classes and whatnot
  • Health details: Any injuries, conditions, or limitations we need to know about. This ain't about being nosy - it's about keeping you safe during those brutal MMA sessions
  • Payment info: Credit card details for membership and session fees (processed securely, promise)
  • Training records: What programs you're in, your progress, attendance - helps us track how you're crushing your goals
  • Emergency contacts: Because let's be real, combat training can get intense and we need to know who to call if something goes sideways

We also collect some tech stuff automatically like IP addresses and browser info when you use our website - standard internet stuff that helps us fix problems and make the site better.

Here's where your data goes and why we need it:

  • Running your membership: Processing payments, scheduling classes, managing your account - the day-to-day stuff
  • Keeping you informed: Class updates, schedule changes, new programs, special challenges. We won't spam you with random crap, just the good stuff
  • Personalizing your training: Your coaches use your info to design programs that actually work for YOUR body and goals, not some cookie-cutter BS
  • Safety first: Health info helps us modify exercises when needed and react fast if there's an emergency

We don't sell your info. Period. But we do share it with a few trusted partners who help us run things:

  • Payment processors: Companies like Stripe or Square that handle the financial transactions securely
  • Email service providers: For sending out newsletters and updates (you can unsubscribe anytime, no hard feelings)

Important: If you post something in our private Facebook group or other community spaces, that's on you. We can't control what other members do with public posts.

  • Active members: We keep everything current while you're training with us
  • After you leave: We'll hold onto your basic info for about 7 years - that's what Canadian tax and business laws require
  • Health records: Kept for 7 years after your last visit, in case there's any medical or legal stuff that comes up
  • Marketing emails: We'll stop sending these as soon as you unsubscribe, though the system might take a few days to update
  • Financial records: Payment history sticks around for 7 years for accounting and tax purposes

If you want us to delete your stuff sooner, just ask. We'll do what we can within legal limits - some things we gotta keep by law, but anything else? Gone.

It's YOUR data, so you've got rights. Here's what you can do:

  • Access your info: Wanna see what we've got on file? Just ask and we'll send you a copy
  • Correct mistakes: If something's wrong, let us know and we'll fix it ASAP
  • Delete your data: Request deletion and we'll wipe what we can (except stuff we legally have to keep)
  • Opt-out of marketing: There's an unsubscribe link in every email, or just tell us to stop
  • Restrict processing: You can ask us to limit how we use certain info
  • Data portability: Want your data to take somewhere else? We'll give it to you in a readable format

Yeah, we use cookies - and not the chocolate chip kind. These are tiny files that help our website remember you:

  • Essential cookies: Make the site actually work - login sessions, shopping cart, that stuff. Can't really turn these off or the site breaks
  • Analytics cookies: Help us see which pages people visit, how long they stay, where they click. It's anonymous data that helps us improve things

If you're under 18, we're gonna need your parent or guardian's permission before you can sign up. That's the law and it makes sense - parents should know what their kids are getting into, especially with intense combat training.

For minors, we collect the same type of info but we also need:

  • Parent/guardian contact information
  • Signed consent forms
  • Additional emergency contacts

Parents can access, update, or request deletion of their kid's information anytime. We take extra care with minors' data and only share it with staff directly involved in their training.

We've got security cameras in common areas (not the changerooms, don't worry) for safety reasons. That footage is kept for about 30 days then deleted unless there's an incident.

Sometimes we take photos or videos during classes for social media, marketing, or to show your form during training. Here's the deal:

  • We'll always ask permission before using your image publicly
  • You can say no without any issues - nobody's gonna be weird about it
  • If you change your mind later, just tell us and we'll take it down
  • Training videos for form correction are only seen by you and your coach

If you see yourself in a photo on our social media and want it removed, shoot us a message. We'll handle it right away, no questions asked.

Look, laws change, technology evolves, and we might need to update this policy from time to time. When we do:

  • We'll update the "Last Updated" date at the top
  • For minor tweaks, we'll just post the new version here
  • For major changes that affect how we handle your data, we'll send you an email heads-up
